You will play an integral role in the crucial initial phase of the employee lifecycle by assisting the talent team:
- Job Market Presence: Assisting in the recruitment and selection process, which involves drafting and updating job postings and ensuring their distribution across relevant platforms.
- Candidate Management: Systematically screening resumes against job requirements and efficiently scheduling interviews between candidates and hiring managers, managing all correspondence professionally.
- Database Management: Organizing and updating the Applicant Tracking System (ATS) or recruitment database, ensuring all candidate records are accurate and up-to-date for future reference.
B. Employee Administration and Documentation
The intern will learn the critical importance of accurate record-keeping and regulatory compliance:
- Record Integrity: Maintaining and meticulously updating employee records and HR databases (both digital and physical files), ensuring data accuracy and easy retrieval.
- Onboarding Process: Supporting the onboarding and orientation of new hires. This includes preparing welcome kits, ensuring all joining documentation is complete, and coordinating introductory meetings with relevant departments to integrate new employees smoothly.
- Drafting Support: Helping in drafting standard HR letters, policies, and documentation, such as offer letters, confirmation letters, and internal memos, providing essential exposure to legal HR language and compliance.
C. Operational Support and Confidentiality
- Training & Development: Assisting in the logistical planning and executing of training & development activities, including scheduling rooms, preparing materials, and tracking attendance, learning how to invest in employee growth.
- Inter-Departmental Coordination: Coordinating with different departments for administrative and HR-related tasks, such as collecting monthly attendance reports or coordinating required paperwork.
- Confidentiality: Learning to maintain confidentiality of sensitive information (salaries, performance reviews, employee data) and strictly ensure compliance with company policies and ethical HR practices.
